Unboxing and Physical Setup

Unpack and verify contents. Place phone on a stable, flat surface.

  1. Connect the handset: Plug the coiled handset cord into the jack on the phone base and the handset.
  2. Connect network cable: Plug an Ethernet cable from your network switch/router into the LAN port on the phone.
  3. Optional PC connection: Use the PC port to connect a computer for pass-through networking.
  4. Power the phone: Use Power over Ethernet (PoE) from your switch, or connect the optional power adapter to the DC port and an electrical outlet.

WARNING! Use only the recommended power adapter. Ensure cables are securely connected to avoid disconnections.

Initial Power and Network Setup

Power on the phone; it will boot and attempt to obtain network configuration.

  1. Initial boot: The phone will display the Polycom logo and then search for network configuration (DHCP by default).
  2. Check network status: Navigate to Settings > Status > Network to verify IP address assignment.
  3. Provisioning: The phone may auto-provision from a configured server. If manual setup is required, proceed to the configuration menu.
  4. Set basic preferences: Use the phone's interface to set language, time zone, and date/time format.

CAUTION! Do not disconnect power during firmware updates. Ensure proper ventilation around the phone.

Controls and Interface

Access the main menu via the Home key or touchscreen. Front Panel: LCD touchscreen, navigation cluster (4-way with center Select key), dedicated Hold, Mute, Headset, and Speakerphone keys, programmable soft keys.

Home Screen: Displays date/time, line status, missed calls, and voicemail indicators. Use the navigation keys or touchscreen to scroll through menus and select options.

Settings Menu: Access phone settings, network configuration, call features, and user preferences. Call Handling: Use the physical keys or on-screen buttons to answer, end, hold, transfer, and conference calls.

Configuring Phone Settings

Navigate to Settings > Advanced > Admin Settings (password may be required).

  1. Network Configuration: Set static IP or confirm DHCP. Configure VLAN settings if required by your network.
  2. Server Configuration: Enter SIP server address, outbound proxy, and domain information as provided by your service provider.
  3. Line Settings: Configure SIP credentials (username, password, authentication name) for each line.

Making and Receiving Calls

  2. Answer a call: Press the Answer soft key, the flashing line key, or lift the handset when the phone rings.
  3. End a call: Press the End Call soft key or place the handset back on the cradle.
  4. Hold: Press the Hold key during a call to place the caller on hold. Press Resume or the line key to retrieve.
  5. Mute: Press the Mute key to toggle microphone mute on/off.
  6. Transfer: During a call, press Transfer, dial the target number, and press Transfer again to complete.
  7. Conference: During a call, press Conference, dial the second party, and press Conference again to merge calls.

WARNING! Ensure you have a valid dial plan and service subscription for outgoing calls.

Advanced Features

Directory: Store and access personal and corporate contacts. Call History: View missed, received, and placed calls. Forwarding: Set call forward rules (always, busy, no answer). BLF (Busy Lamp Field): Monitor status of other extensions if configured by your system. USB: Connect a compatible USB device for contact import/export or other supported functions.

Care & Cleaning

Disconnect power before cleaning. Use a soft, dry cloth to wipe the phone. For stubborn marks, slightly dampen the cloth with water. Do not use abrasive cleaners, solvents, or sprays directly on the phone.

CAUTION! Never allow liquid to enter any openings. Keep the phone away from excessive heat, moisture, and dust.
